Finance Assistant

Full-time | On-site | 40 hours per week

Are you highly organized, detail-oriented, and eager to grow your career in finance and operations? Beyond Behavior Consulting is seeking a Finance Assistant to support our Business Operations team. In this role, you’ll handle a variety of administrative and financial tasks, ensuring smooth day-to-day operations while contributing to strategic projects that help our organization thrive.

Position Summary

The Finance Assistant plays a central role in supporting and streamlining the company’s financial, administrative, and operational functions. You will manage financial processes, coordinate vendor and purchasing activities, maintain accurate reporting systems, and support cross-departmental efficiency. This is an excellent opportunity for someone looking to develop strong financial operations skills in a collaborative and mission-driven environment.

Key Responsibilities

Maintain filing systems and store finance department records (A/R, A/P, reports, and historical documents).

Retrieve information from records, email, and other sources; prepare written summaries of data when needed.

Manage and reconcile multiple bank and credit card accounts, including issuing new cards, paying bills, and booking expenses to the proper departments.

Process and track bill payments, loans, interest, and principal payments.

Assist in preparing detailed monthly, quarterly, and annual financial reports using Excel.

Maintain vendor lists, contracts, and purchasing records; compare quotes for major purchases.

Investigate billing discrepancies and monitor cost increases.

Support the Director of Business Operations on day-to-day administrative and finance tasks.

Assist with the implementation of automated systems such as QuickBooks or Amazon Auto-Ship.

Perform other administrative duties as assigned, including responding to and resolving inquiries.

Qualifications

 

Required Skills and Qualifications

Excellent verbal and written communication skills.

Strong organizational skills, attention to detail, and ability to multitask.

Proficiency in Microsoft Excel and familiarity with QuickBooks (preferred).

Analytical mindset with the ability to work independently and collaboratively.

Basic understanding of clerical procedures such as recordkeeping and filing.

Experience in vendor relations or purchasing coordination is a plus.

Education and Experience

Associate degree or bachelor’s degree in a related field preferred (not required).

Three to five years of experience in an administrative or finance role preferred (not required).

Physical Requirements

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds occasionally.
