You can have all of this and more at Five Star Equipment. We have a terrific opportunity for a Corporate Administrative Specialist for our Corporate Center located in Dunmore, PA. We are looking for a self-motivated, experienced sales professional to join our team. The Corporate Administrative Specialist supports the operations of the accounting department, primarily handling administrative tasks, basic accounting functions, and ensure compliance for accurate accounting practices.

Assist in maintaining accounts payable, ensure timely payment of invoices, confirming validity of debt and gathering appropriate signatures.

Creates and maintains vendor profiles, including remit to addresses, 1099 compliance, ACH and W9 documentation.

Print and send monthly statements to customers to request payment.

Process customer credit card payments via telephone.

Matches vendor invoices to inventory receiving based on P.O. number, item, quantity, etc.

Ensure discounts are applied and payments processed in accordance with policy.  Resolves vendor issues immediately.

Accurate and timely processing of vendor credit applications, check payments and ACH transactions.

Distribute invoices and other supporting documents for approval and processes according to Company practices.

Assist in scheduled GL account reconciliations, period closing process and reporting or audits. Corrects discrepancies.

Review bills and employee expenses submitted to the company for potential errors and/or discrepancies.

Codes purchasing card transactions & posts.

Investigates and resolves billing discrepancies or misapplied cash transactions.

Reviews all credit balances, refunds, and adjustments, and enters adjustments and/or corrections into the system.

Enter any wire or ACH payments and apply them to the appropriate invoices once payment has cleared the bank.

Demonstrate ability to accurately calculate, post, correct, and manage accounting figures and financial records.

Qualifications

 

2-3 years of experience in accounting or related field.

Excellent analytical skills.

Must be able to work independently.

Must be able to effectively interact and communicate with individuals at all levels of the organization.

Ability to maintain the highest level of confidentiality and ethical conduct.

Strong communication and relationship skills.

Able to work under time sensitive conditions, prioritize multiple ongoing projects and manage stress.

Effective time management skills, multi-tasking ability, attention to details and accuracy.

Must have excellent writing, reading, proofreading and comprehension skills.  High level of communication skills.

High level of experience with accounting software and other applications such as the CDK business system, Microsoft Office and Internet functions.
